Project Overview

For the Juspay internship assignment, I was tasked with creating TradeSphere Connect—a backend tool that streamlines the evaluation, approval, and rejection of supplier applications for TradeSphere, a B2B platform connecting businesses with trusted suppliers. The aim was to design an interface that simplifies the decision-making process for employees, making it both efficient and user-friendly while incorporating measurable success metrics.

Initial Approach

I began by exploring various supplier and procurement software to understand their complex workflows, but quickly got confused between procurement management tools that handle bid applications from suppliers and platforms designed to onboard sellers. I realized that I wasn't building a system for handling bids; instead, I was creating a tool specifically for TradeSphere employees to manage seller applications. While this distinction was clearly laid out, it initially tripped me up due to the similarity between the two types of software. Additionally, most of these tools require enterprise subscriptions, so I had limited access to live systems. This meant I had to rely on research and literature to gather insights.

To ground my design in industry standards, I conducted secondary research on existing supplier application management systems and procurement platforms such as SAP Ariba, Coupa, and Oracle Procurement Cloud. Key findings included:

Solutions

AI Screening Process for Supplier Application

To streamline supplier evaluation, TradeSphere Connect incorporates an AI-powered screening system that automatically analyzes key sections of an application—Company Details, Certifications, and Performance History. Instead of employees manually reviewing large amounts of data, the AI processes the submitted information and assigns risk indicators to assist in decision-making.

Risk Indicators & Automated Insights

Each section receives a risk level indicator based on AI analysis:

Employees receive AI-generated summaries highlighting key concerns and suggested next steps (e.g., requesting missing documents, escalating reviews).

This feature assists employees in manually reviewing supplier applications by providing AI-powered summaries for individual sections. While the full application data is already visible, users can expand the AI Insights accordions for assistance in decisions & analyzing complex documents and large datasets.

Quick View Modal for Fast Supplier Assessment

Instead of loading the full Application Detail Screen, users can get a high-level summary through a Quick View modal, saving time by using AI to summarize information.

Bulk select actions

The Bulk Action feature allows employees to quickly process multiple supplier applications at once, reducing manual effort and improving evaluation speed. Instead of handling applications one by one, users can filter applications based on AI risk scores (e.g., all "Pass" suppliers for bulk approval or all "Poor" suppliers for bulk rejection) and take action in a single step.

QUick filter templates

The Filter Template feature allows employees to save and reuse custom filter sets, making it easier to quickly sort and evaluate supplier applications based on frequently used criteria. Instead of applying the same filters manually every time, users can create a template for specific needs, improving efficiency and consistency in supplier evaluations. For example, certain regions require specific compliances for certain products, so employees can save filters for such applications to streamline the review process.

Impact

defining the metrics

To measure the effectiveness of the four final features, we define three key impact metrics and analyze how each feature contributes to them. Evaluation Time measures the average time it takes for an employee to review and take action on a supplier application. Throughput measures the total number of supplier applications an employee can evaluate in a given time frame and Decision Accuracy ensures decisions are consistent and well-informed, minimizing incorrect approvals or rejections.
